Repeated No-Shows

After two missed appointments or late cancellations within 12 months, we will ask for payment up front to book future appointments.

Emergencies and Exceptions

If you have an emergency or the weather makes travel unsafe, contact us as soon as you can and we will work with you. If we have to cancel or reschedule, we will contact you right away, and no fee applies.

What a Good No-Show Policy Includes

If you are working out how to write a no show policy, start with five parts. Each one answers a question a customer will ask the first time the policy applies to them.

A Cancellation Window
How much notice you need, in hours. A 24 hour cancellation policy is easy to remember. Forty-eight hours suits long services that are hard to refill on short notice, and 12 suits short appointments that are easy to refill.
The Fee or Deposit
A flat fee, a share of the service price, or a deposit you keep. Write the actual amount into the policy, so nobody is surprised by the charge.
How to Cancel
Every way a customer can reach you in time: text, call, or online. If the only option is a phone nobody answers after hours, a 24 hour window is hard to meet.
A Grace Period and a First-Time Waiver
A few minutes of grace for late arrivals, and a one-time courtesy waiver for a first miss, make the policy feel fair without giving it away.
How It Is Enforced

No-Show Policy for a Medical Office

A medical office adds two rules. Under CMS guidance on missed appointments, a practice may charge Medicare patients a missed-appointment fee only when the same policy and the same amount apply to every patient, and the fee is billed to the patient, never to Medicare. And reminder texts carry a name, date, time, and practice only, never a diagnosis or treatment. Check Medicaid rules and your payer contracts before charging. Med Spa Cancellation Policy

For a med spa, a deposit at booking and a 48 hour window suit long treatments that are hard to refill. Keep reminder texts to a name, date, time, and practice, and leave the treatment out of the text.

Therapists, Trainers, Groomers, and Tutors

Therapists put the missed-session fee in the informed-consent paperwork clients sign and follow their licensing board's rules. Trainers and tutors end late sessions on time. Groomers, tutors, and home service businesses each get wording that fits: the pet's name, the parent's phone, or being home during the arrival window.

How to Enforce It Without Losing Customers

  • Use the tools you already pay for. Check whether your booking or practice software can hold a card or take a deposit at booking before you add another tool.
  • Send the reminder before the window closes. A reminder that lands after the cutoff only tells people they owe a fee. The generator's reminder goes out before your cutoff, while there is still time to reschedule and refill the slot.
  • Offer a one-time courtesy waiver. Waive the first miss, say so in the follow-up text, and note it on the customer's record so the next one is charged.
  • Apply it to everyone. Regulars and new customers follow the same rules. For practices with Medicare patients, the same policy for every patient is a CMS condition, not just good manners.
  • Keep a way to refill the slot. A waitlist, or a text to customers who asked for an earlier time, turns a late cancellation into a booked appointment.
